How to Sell on WhatsApp: From Google to the Conversation That Closes the Deal

Well-written messages help, but they achieve little when the contact arrives cold, waits hours for a reply or disappears without anyone knowing where they came from.

77% of Brazilians usually talk to companies on WhatsApp, and 70% have already bought a product or hired a service through it, according to the Pesquisa WhatsApp no Brasil 2026, by Opinion Box (in Portuguese), a survey of WhatsApp use in Brazil, Flowup's home market. The channel is already part of the customer's routine. What separates the companies that sell through it from the ones that only answer messages is the path around the conversation.

Most guides on the subject stop at message tips. This article covers the whole path, from the moment a person searches to the recorded sale, with a conversation outline and the metrics that show where to improve.

The path of a sale on WhatsApp

Think of WhatsApp as the last stage of a sales funnel, not as the whole funnel:

  1. Being found: the person searches on Google or asks an AI and finds your company.
  2. Moving to the conversation: the right page leads to WhatsApp, already carrying the subject of the conversation.
  3. Replying fast: the first reply arrives in minutes, not the next day.
  4. Guiding: the conversation establishes what the case is, qualifies and proposes a concrete next step.
  5. Following up and measuring: those who stopped replying get a follow-up, and each sale stays linked to its source.

When one stage fails, the others do not make up for it. Great customer service does not sell to people who never arrived, and a website with many visits does not sell if the conversations go unanswered.

1. Being found on Google and in the AIs

A good share of sales conversations start with a search: "leadership training company in São Paulo," "how much does SEO consulting cost," "best clinic for children near me." More and more, that question also goes to ChatGPT, Gemini or Google's AI Mode.

To show up on both fronts, a company needs pages that answer those questions clearly: what it does, for whom, how it works, how much it costs or what the price depends on. That is the work of AI SEO, GEO and AEO.

WhatsApp also feeds search. The questions customers ask in the conversation are the same ones they ask Google and the AIs. When they become answers on the website and in the FAQ, they bring new contacts, who reach the conversation with part of their questions already answered.

2. Bringing the contact to the conversation with context

The generic WhatsApp button, the same on every page, throws away a valuable piece of information: what the person was reading. Three adjustments solve that.

  • Pre-filled message for each page: the WhatsApp chat link accepts an opening text, in the format wa.me/55DDDNUMERO?text=... (the example is Brazilian: 55 is Brazil's country code and DDD is the Brazilian area code, followed by the phone number). On the leadership training page, for example, the message can be "Hi! I came from the leadership training page and I would like to understand the format." The person can edit it, but almost always sends it as it is.
  • Click event in GA4: each click on the button becomes an event, with the page it came from. That way, you can tell which pages and campaigns generate conversations.
  • A form that becomes a conversation: whoever fills out the form on the website receives the first message on WhatsApp, with the subject they wrote, provided they have agreed to be contacted there.

3. Replying fast, including outside business hours

The most cited study on response time was published in the Harvard Business Review in March 2011. It analyzed 2,241 companies in the United States: only 37% responded to an online lead within an hour, and 23% never responded at all. Those that responded within the first hour were nearly 7 times as likely to qualify the lead as those that responded an hour later.

The study is old and looked at web forms, not WhatsApp. But the logic holds even more in a conversation: people who message a company on WhatsApp expect a reply in minutes, and have usually messaged other companies at the same time.

In practice, the problem lies outside business hours: the contact who arrives at 9 p.m. and only gets a reply at 9 a.m. the next day. That is where an AI agent makes a difference, replying right away, qualifying and leaving the conversation ready for the team. 4. Guiding the conversation to the next step

A sales conversation does not need a rigid script, but it does need an outline. A basic outline for selling on WhatsApp has five moves:

  1. Open by answering: greet the customer, say who is handling the conversation, a person or an AI, and answer the question the customer asked.
  2. Understand the case: one or two open questions about what the person needs.
  3. Qualify: only the questions that decide the next step, such as timing, size, location or budget range.
  4. Propose a concrete next step: two time slots for a conversation, the payment link or the proposal. Never end with "if you have any questions, just let me know."
  5. Record: the summary of the conversation, the stage and the source go into the CRM, with the agreed follow-up.

Example

At 7:40 p.m., a corporate training company receives the message: "Hi! I came from the leadership training page and I would like to understand the format." The reply explains that the program can be in person or online, and asks how many managers will take part and when the group should start. The customer answers "12 managers, in November." The conversation offers two time slots for a meeting with the consultant, confirms one of them and records the summary in the CRM, with the source "leadership page, organic search."

One caution: ask only for the data needed for the next step. 61% of Brazilians do not feel comfortable sharing sensitive information through WhatsApp, according to the same Opinion Box survey (in Portuguese).

5. Following up and measuring

Following up with those who stopped replying

Many sales are not lost to a "no" but to silence: the customer who asked for the proposal and disappeared, the boleto (a Brazilian bank slip) that was not paid, the meeting that was not rescheduled. A follow-up at the right time, with a message that is useful rather than pushy, recovers part of those conversations.

Campaigns and messages initiated by the business follow rules. Under the WhatsApp Business policy, a business may only initiate conversations with people who have given it their phone number and opted in to receiving messages from it. Common mistakes in WhatsApp sales

  • The salesperson's personal number: the history leaves the company when the person leaves, and nobody keeps track of the conversations anymore.
  • Replies only during business hours: contacts from the evening and the weekend go cold or close with a competitor.
  • Generic button: with no pre-filled message and no click event, the source is lost.
  • A list without opt-in: bulk messages to people who have not opted in lead to blocks and limit the account.
  • A conversation without a next step: replying well and proposing nothing leaves the decision for later, and later usually does not come.
